Personal Assistant/Secretary

Qualifications:

• Must not be more than 40 years old.
• Must possess a Bachelor’s Degree in Business Administration, Office Administration, Management, or an equivalent qualification.
• Must have three (3) to five (5) years of relevant work experience as a Personal Assistant, Executive Secretary, Administrative Assistant, or in a similar position.
• Must possess a valid professional license, if applicable to the position.
• Must have excellent verbal and written communication skills.
• Must be proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
• Must have strong organizational, time-management, and multitasking skills.
• Must be knowledgeable in office administration, document preparation, correspondence, and record management.
• Must be capable of handling confidential information with professionalism and discretion.
• Must have good interpersonal skills and the ability to coordinate with executives, employees, clients, and business partners.
• Must be detail-oriented, dependable, proactive, and able to work independently.

Responsibilities:

• Provide administrative and secretarial support to executives and management.
• Manage daily schedules, appointments, meetings, and business engagements.
• Prepare, proofread, and organize letters, reports, presentations, emails, and other business documents.
• Handle incoming and outgoing communications, including phone calls, emails, and correspondence.
• Arrange business meetings, prepare meeting agendas, and record minutes when required.
• Coordinate travel arrangements, hotel bookings, transportation, and other business-related activities.
• Maintain and organize confidential files, records, reports, and office documents.
• Monitor pending tasks, deadlines, and follow-up activities on behalf of management.
• Coordinate with different departments, clients, suppliers, and business partners.
• Assist in preparing reports, presentations, and other materials for management meetings.
• Perform general office administration and ensure smooth daily office operations.
• Handle sensitive information and confidential matters with professionalism and discretion.
• Perform other related administrative duties as assigned by management.

• Educational credentials (diploma, form 137, TOR)
