Property Facilities Manager
Qualifications:
- A minimum of 7 year(s) of working experience is required.
- Candidates must be a Bachelor’s / College Degree holder in Engineering(Others) or similar fields.
- Degree or Diploma in Facilities Management, Property, Engineering, Building Services, Construction Management or a related discipline
- Minimum 7–10 years’ experience in commercial property and facilities management.
- Demonstrated experience managing hard and soft facilities management services across commercial, industrial or mixed-use properties
- Demonstrated experience establishing or significantly improving Computerised Maintenance Management Systems (CMMS), asset registers and
asset management frameworks. - Strong understanding of building engineering systems including HVAC, electrical, fire protection, hydraulic services, lifts, generators, UPS and
Building Management Systems (BMS). - Experience developing preventative maintenance strategies, asset lifecycle plans and maintenance budgets.
- Demonstrated experience planning, managing and delivering capital works and refurbishment projects
- Proven ability to manage contractors, consultants and specialist service providers.
- Strong commercial and financial management skills, including budgeting, forecasting and cost control.
- Demonstrated experience preparing executive reports, KPIs and client presentations.
- Strong leadership, communication and stakeholder management skills.
- High level of computer literacy including Microsoft Office and experience with CMMS/CAFM platforms.
- Professional qualification or membership with IFMA, FMA, RICS or a similar professional body.
- Experience within the oil & gas, mining, resources or critical infrastructure sectors
- Experience working within developing or remote environments.
- Project Management qualifications or equivalent experience.
- Experience mobilising new contracts or transitioning services from incumbent providers
Responsibilities:
- Develop and maintain strong relationships with clients, tenants and key stakeholders.
- Act as the primary operational representative for assigned portfolios.
- Lead regular operational meetings and service reviews
- Ensure client expectations are understood and consistently achieved.
- Drive high levels of client and tenant satisfaction
- Identify opportunities to improve service delivery and create additional value for clients.
- Support the mobilisation of new contracts and transition from incumbent service providers.
- Establish and maintain comprehensive asset registers for all managed properties
- Develop and maintain accurate asset hierarchies and equipment records.
- Implement and administer Computerised Maintenance Management Systems (CMMS).
- Capture and maintain asset history, maintenance records and technical documentation.
- Develop planned preventative maintenance programs based on asset criticality and manufacturer recommendations.
- Undertake condition assessments and develop asset improvement strategies.
- Maintain accurate building documentation including as-built drawings, O&M manuals and statutory records
- Develop asset lifecycle plans to support long-term investment decisions.
- Ensure properties present to a consistently high standard.
- Manage day-to-day operational issues affecting tenants and occupants
- Coordinate tenant requests and ensure timely resolution.
- Support tenancy changes, fit-outs, relocations and occupancy requirements.
- Coordinate operational activities to minimise disruption to tenants and building users
- Conduct regular property inspections and identify improvement opportunities
- Promote a positive customer experience throughout the portfolio
- Lead the delivery of integrated hard and soft facilities management services
- Manage planned, reactive and emergency maintenance activities
- Ensure statutory inspections, testing and maintenance are completed
- Oversee specialist contractors including HVAC, electrical, fire, hydraulic, lifts, BMS, security, cleaning, landscaping and pest control.
- Monitor contractor performance against agreed KPIs and service levels.
- Develop maintenance strategies that improve reliability while reducing operational risk.
- Participate in technical inspections and operational audits
- Ensure emergency response procedures remain current and effective.
- Develop annual capital works and asset replacement plans.
- Prepare lifecycle replacement forecasts.
- Identify opportunities to improve asset performance through refurbishment or replacement
- Prepare business cases supporting capital expenditure
- Manage refurbishment, upgrade and capital works projects.
- Coordinate consultants, contractors and specialist suppliers.
- Ensure projects are delivered safely, on time, within budget and to the required quality standards
