Sultan Bin Abdulaziz Humanitarian City is seeking a highly organized and professional Correspondent Assistant to provide administrative, communication, and coordination support within a healthcare environment in Saudi Arabia. The successful candidate will assist with correspondence, scheduling, documentation, follow-ups, and day-to-day administrative tasks while maintaining confidentiality and professionalism when dealing with hospital management, medical staff, patients, and other stakeholders.
CORRESPONDENT ASSISTANT
Qualifications:
- 3–5 years of experience as a Medical Secretary, Medical Assistant, Correspondent Assistant, or in a similar administrative role.
Hospital or healthcare experience is preferred. - Experience working directly with a Hospital Director, Medical Director, or Senior Executive is highly preferred.
- Previous experience in a hospital or healthcare environment is highly preferred.
- Highly organized, attentive to detail, reliable, and capable of managing multiple administrative responsibilities.
- Excellent time-management, coordination, and follow-up skills.
- Excellent English communication and writing skills, with the ability to prepare professional correspondence and documents.
- Strong written and verbal communication skills.
- Professional appearance and a courteous, service-oriented approach.
- Ability to work effectively under pressure and manage multiple priorities and deadlines.
- High level of discretion, confidentiality, accountability, and responsibility when handling sensitive information.
- Strong computer and office administration skills, including document preparation, email, scheduling, and electronic filing.
- Ability to communicate and coordinate effectively with medical professionals, hospital administrators, staff, and external stakeholders.
- Ability to work independently while maintaining effective teamwork and coordination.
Responsibilities:
- Provide administrative and correspondence support to hospital management, medical executives, and assigned departments.
- Prepare, organize, proofread, and distribute letters, reports, memos, emails, and other official correspondence.
- Manage incoming and outgoing communications and ensure that important messages are properly recorded and forwarded.
- Assist with scheduling meetings, appointments, conferences, and other activities.
- Coordinate calendars and appointments for senior executives or medical management when assigned.
- Maintain organized physical and electronic filing systems for correspondence, reports, records, and administrative documents.
- Follow up on pending requests, documents, approvals, appointments, and other administrative matters.
- Coordinate with hospital departments and relevant personnel to ensure timely completion of assigned tasks.
- Prepare meeting materials, agendas, minutes, and other documents as required.
- Assist in tracking important deadlines and ensuring that correspondence and requests are addressed within the required timeframe.
- Handle sensitive and confidential information with a high level of discretion and responsibility.
- Support communication between hospital management, medical staff, administrative departments, and external parties.
- Receive and respond to routine inquiries professionally or refer them to the appropriate department or personnel.
- Maintain accurate records of correspondence, communications, appointments, and follow-up actions.
- Assist in preparing presentations, reports, summaries, and other administrative materials.
- Monitor and organize incoming documents and ensure proper routing to concerned personnel.
- Provide general administrative assistance to the Hospital Director, Medical Director, or other senior executives when required.
- Maintain a professional and courteous approach when dealing with patients, visitors, staff, and external stakeholders.
- Ensure all administrative activities are performed in accordance with hospital policies and procedures.
- Perform other administrative and correspondence-related duties assigned by management.
