Jizan Perfume LLC is seeking a qualified and experienced Shipping Clerk to support its shipping, logistics, customs, and supply chain operations in the United Arab Emirates. The successful candidate will be responsible for preparing shipping documentation, coordinating import and export activities, maintaining accurate records, and ensuring shipments comply with company procedures, customs requirements, and international trade regulations.
SHIPPING CLERK
Qualifications:
- Bachelor’s degree in Customs Administration, Business Administration, Supply Chain Management, Accountancy, Logistics, or a related field.
- Minimum of 5 years of relevant experience in shipping, logistics, freight forwarding, customs clearance, or supply chain operations is preferred.
- Knowledge and practical experience using ERP systems, preferably SAP Business One (SAP B1).
- Proficiency in Microsoft Office applications, particularly Microsoft Excel, including VLOOKUP, HLOOKUP, PivotTables, conditional functions, and other data analysis tools.
- Good knowledge of Incoterms, customs procedures, shipping documentation, and international trade regulations.
- Knowledge of Dangerous Goods Regulations (DGR) is an advantage but not required.
- Experience handling import and export transactions is an advantage.
- Strong attention to detail and accuracy in preparing and checking shipping documentation.
- Good organizational and time-management skills, with the ability to handle multiple shipments and deadlines.
- Good communication and coordination skills when dealing with internal departments and external logistics partners.
- Ability to analyze shipping data, maintain accurate records, and prepare reports.
- Ability to work efficiently in a fast-paced logistics and supply chain environment.
- Reliable, organized, detail-oriented, and capable of following established shipping and compliance procedures.
Responsibilities:
- Prepare, process, and maintain shipping, logistics, customs, and import/export documentation.
- Coordinate the movement and delivery of shipments with freight forwarders, shipping companies, customs representatives, and other logistics partners.
- Ensure shipping documents are complete, accurate, and submitted within required timelines.
- Prepare commercial invoices, packing lists, shipping instructions, bills of lading, certificates, and other required trade documents.
- Assist with import and export shipment processing and coordinate customs clearance requirements.
- Verify shipment details, quantities, product descriptions, and supporting documents before dispatch.
- Apply appropriate Incoterms and ensure shipping arrangements are aligned with agreed commercial terms.
- Monitor shipment schedules, delivery status, and estimated arrival dates.
- Coordinate with internal departments regarding shipment requirements, order status, and delivery schedules.
- Maintain accurate shipping, customs, inventory, and logistics records in the company’s ERP system.
- Use SAP Business One (SAP B1) or other ERP systems to record and monitor shipment-related transactions.
- Prepare and analyze shipping and logistics reports using Microsoft Excel.
- Utilize Excel functions and data analysis tools such as VLOOKUP, HLOOKUP, PivotTables, conditional functions, and related formulas.
- Check shipping invoices, freight charges, and related documentation for accuracy.
- Communicate with suppliers, customers, freight forwarders, customs brokers, and other relevant parties regarding shipment requirements.
- Ensure compliance with applicable customs procedures, international trade regulations, and company policies.
- Assist in resolving shipment delays, documentation discrepancies, customs issues, and other logistics-related concerns.
- Maintain organized records of import and export transactions for reference, reporting, and audit purposes.
- Support proper handling and documentation of shipments subject to special transportation requirements.
- Apply knowledge of Dangerous Goods Regulations (DGR) when applicable.
- Monitor shipment-related costs and provide necessary documentation for accounting and finance purposes.
- Ensure confidentiality and accuracy of shipping and commercial information.
- Perform other shipping, logistics, and administrative duties assigned by management.
