OFFICE ADMINISTRATOR
Qualifications:
- Proficient in Nihongo (Japanese) with effective verbal and written communication skills.
- Well-versed in administrative tasks, including documentation, filing, data entry, and record management.
- Strong communication, coordination, organizational, and attention-to-detail skills.
- Previous administrative or office experience is preferred.
- Able to communicate professionally with colleagues, supervisors, and other stakeholders.
- Strong computer and basic office application skills for documentation and data management.
- Able to manage multiple administrative tasks while maintaining accuracy and organization.
- Reliable, responsible, detail-oriented, and capable of working independently or as part of a team.
- Willing to work in Tonga and adapt to a multicultural and professional workplace environment.
Responsibilities:
- Perform day-to-day administrative and clerical tasks to support office operations.
- Prepare, organize, process, and maintain office documents, correspondence, and records.
- Handle filing and document management using appropriate physical and electronic systems.
- Perform accurate data entry and update administrative records and databases.
- Maintain organized and accessible files, reports, forms, and other office documents.
- Receive, prepare, and distribute correspondence, notices, and other administrative communications.
- Communicate effectively with staff, management, clients, and other relevant personnel in Nihongo as required.
- Assist with scheduling meetings, appointments, activities, and other office arrangements.
- Coordinate administrative requests between departments and ensure timely follow-up.
- Prepare basic reports, summaries, spreadsheets, and other administrative documents.
- Monitor office supplies and assist in maintaining adequate stocks of commonly used materials.
- Assist with purchasing, document processing, and other routine office requirements.
- Maintain confidentiality and properly handle sensitive company and employee information.
- Check documents and records for accuracy, completeness, and consistency.
- Assist management and supervisors with administrative tasks and special office projects.
- Keep the office and administrative work areas organized and properly maintained.
- Follow company policies, administrative procedures, and instructions from supervisors.
- Perform other related administrative and office duties as assigned.
