Falcon Pack Industry LLC (Branch) is seeking a qualified and experienced Document Controller for an overseas work opportunity in the United Arab Emirates. The successful candidate will manage project documentation, document revisions, trackers, schedules, approvals, reports, and project-related records while coordinating with internal departments, project teams, and customers.

Qualifications:
- Diploma or Bachelor’s degree in Business Administration, Project Management, Engineering, or a related field.
- 2–4 years of relevant experience in Document Control, Project Coordination, Project Administration, or a similar role.
- Experience managing project documents, document registers, revisions, approvals, trackers, and schedules.
- Strong knowledge of document control, version management, filing, and project documentation procedures.
- High proficiency in Microsoft Office, particularly:
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Word
- Microsoft Outlook
- Microsoft Teams
- Strong presentation and report-making skills.
- Strong data analysis and reporting skills.
- Good experience using ERP systems.
- SAP experience is highly preferred.
- Basic knowledge of AI tools for productivity, reporting, research, and data analysis.
- Excellent organizational, communication, coordination, and follow-up skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple projects, deadlines, documents, and priorities simultaneously.
- Ability to coordinate effectively with Sales, Production, Quality, Planning, Procurement, Engineering, customers, and other stakeholders.
- Strong problem-solving and analytical skills.
- Ability to maintain confidentiality and handle sensitive project and customer information.
- Experience in food packaging, manufacturing, printing, or FMCG is preferred.
- Ability to work independently and as part of a multidisciplinary project team.
- Strong time-management skills and ability to meet deadlines.
- Willing to follow company policies, document control procedures, and workplace requirements.
Responsibilities:
- Manage, organize, maintain, and control all project documents and revisions.
- Maintain accurate project document registers, trackers, schedules, action lists, and filing systems.
- Ensure proper document numbering, filing, distribution, version control, and document retrieval.
- Monitor document revisions and ensure the latest approved versions are available to relevant departments.
- Coordinate project documentation with Sales, Production, Quality, Planning, Procurement, Engineering, and customers.
- Track project deadlines, approvals, pending actions, deliverables, and required follow-ups.
- Monitor project progress and identify outstanding documents, approvals, and actions.
- Prepare project status reports, management presentations, dashboards, and progress updates.
- Perform basic data analysis to identify project progress, delays, trends, and outstanding activities.
- Coordinate artwork, product specifications, customer approvals, and other project-related documents.
- Ensure documents are complete, accurate, properly approved, and maintained according to company procedures.
- Maintain confidentiality of project, customer, commercial, technical, and company information.
- Support Project Managers with daily project coordination, documentation, follow-ups, and administrative activities.
- Follow up with responsible departments and stakeholders regarding pending documents, approvals, and project actions.
- Assist in preparing meeting materials, presentations, reports, action lists, and project updates.
- Maintain organized electronic and physical document filing systems.
- Ensure project documentation is easily accessible to authorized personnel.
- Use Microsoft Excel for trackers, reporting, data organization, and basic analysis.
- Use Microsoft PowerPoint to prepare professional management presentations and project dashboards.
- Use Microsoft Word, Outlook, and Teams for documentation, communication, coordination, and collaboration.
- Utilize ERP systems for project and document-related activities; SAP experience is highly preferred.
- Use basic AI tools for productivity, reporting, research, data analysis, and administrative support where appropriate.
- Identify documentation gaps, inconsistencies, delays, or version-control issues and report them to the appropriate personnel.
- Assist in improving document control systems, workflows, reporting processes, and project coordination procedures.
- Maintain accurate records of customer approvals, specifications, artwork, production requirements, and project correspondence.
- Coordinate with multiple departments to ensure project documentation is completed on time.
- Perform other document control, project administration, reporting, and coordination duties assigned by management.
