Qualifications:
- A minimum of 3 years of relevant working experience is required.
- Candidates must be a Bachelor’s / College Degree holder in Business Studies, Administration, Management, or a similar field.
- Preferably with 2–5 years of relevant administrative or office experience.
- Strong organizational and time-management skills.
- Good written and verbal communication skills.
- Basic to intermediate computer skills and familiarity with common office applications.
- Able to prepare, organize, and maintain business documents and records accurately.
- Able to manage schedules, appointments, and multiple administrative tasks.
- Detail-oriented, reliable, responsible, and professional.
- Able to work independently and as part of a team.
- Capable of handling confidential information appropriately.
- Able to follow instructions and company policies.
- Willing to work in Japan and adapt to the employer’s workplace environment and procedures.
Responsibilities:
- Prepare, organize, file, and maintain company records, reports, documents, and other business-related files.
- Ensure that physical and electronic records are properly organized and easily accessible.
- Schedule appointments, meetings, and other business activities for supervisors or departments.
- Maintain calendars and coordinate meeting schedules.
- Prepare meeting materials, notices, correspondence, and other administrative documents as required.
- Monitor office supplies and maintain adequate inventory levels.
- Process purchase requests for office supplies, equipment, and other administrative requirements.
- Coordinate with suppliers and relevant departments regarding office supply replenishment.
- Assist with data entry, filing, document processing, and other routine office activities.
- Receive, organize, and distribute office correspondence and documents.
- Assist supervisors and management with administrative tasks and office coordination.
- Maintain confidentiality of company records and sensitive business information.
- Ensure that administrative records are accurate, complete, and up to date.
- Coordinate with employees, departments, and external contacts when necessary.
- Perform other administrative and office support duties as assigned by management.
