DOCUMENTATION CONTROLLER
Qualifications:
- Minimum 5 years of working experience in Document Control, Project Documentation, or a related position.
- Must be a Bachelor’s / College Degree holder in Others or similar fields.
- Male applicants are preferred for this role.
- Must have Gulf / Middle East experience.
- Practical experience managing project documentation and document flows.
- Knowledge of incoming and outgoing document registration, distribution, filing, and tracking procedures.
- Experience maintaining document transmission logs, document registers, and filing systems.
- Familiarity with both electronic and hard-copy document management systems.
- Ability to maintain proper document traceability, revision control, and record keeping.
- Familiarity with basic project site activities and project documentation requirements.
- Strong organizational and coordination skills.
- Excellent attention to detail and a high level of accuracy when handling project records.
- Good time-management skills and ability to prioritize multiple documentation requirements.
- Ability to coordinate effectively with engineers, supervisors, contractors, site personnel, and other project staff.
- Ability to work independently with minimal supervision while maintaining accurate records.
- Good communication and interpersonal skills.
- Reliable, organized, disciplined, and detail-oriented.
- Able to work effectively in a fast-paced project or construction environment.
Responsibilities:
- Manage and control all project documentation flows, including both paper-based and electronic documents.
- Maintain an accurate project document transmission log for all incoming and outgoing documents.
- Receive, register, and record project documents in accordance with established document control procedures.
- Distribute documents to relevant personnel, departments, engineers, supervisors, and project teams for review or information.
- Track documents submitted for review and ensure that comments, revisions, and responses are properly recorded.
- Receive commented or reviewed documents and distribute them to the appropriate personnel for further action.
- Maintain proper filing systems for project documents to ensure easy retrieval and complete traceability.
- Organize and maintain both electronic and hard-copy document archives.
- Ensure that documents are properly identified, numbered, dated, categorized, and filed.
- Monitor document revisions and ensure that the latest approved versions are available to authorized personnel.
- Maintain records of document submissions, approvals, comments, revisions, and distribution.
- Coordinate with project personnel to ensure documents are transmitted to the correct recipients within required timelines.
- Follow up on outstanding documents, pending reviews, approvals, and required responses.
- Assist project teams in retrieving drawings, specifications, reports, correspondence, and other project documentation.
- Ensure confidential and controlled documents are handled and distributed appropriately.
- Maintain document registers and databases with accurate and up-to-date information.
- Check documents for completeness, proper identification, and required supporting information before filing or distribution.
- Support the preparation and organization of project records for audits, inspections, handover, and project close-out.
- Assist in maintaining systematic records of project correspondence and other important documentation.
- Coordinate with site personnel and office-based project teams regarding documentation requirements.
- Develop and maintain organized filing structures that provide efficient document retrieval and traceability.
- Ensure document control procedures are consistently followed throughout the project.
- Maintain accurate records while handling a high volume of documents and competing priorities.
- Familiarize with basic project site activities to better understand document requirements and workflow.
- Perform routine administrative and documentation tasks required to support project operations.
- Maintain a professional and organized document control environment.
- Report document discrepancies, missing records, or filing issues to the appropriate supervisor.
- Perform other document control, administrative, and project support duties assigned by management.
