Jizan Perfume LLC is seeking an experienced and detail-oriented Shipping Service Clerk to support shipping, logistics, freight forwarding, and customs clearance operations in the United Arab Emirates. The successful candidate will coordinate customer shipments, maintain accurate shipping records, liaise with freight forwarders and customs brokers, monitor delivery schedules, and ensure that shipping transactions comply with company policies and applicable customs and trade regulations.
Shipping Service Clerk
Qualifications:
- Minimum 5 years of relevant working experience.
- Bachelor’s / College Degree in Business Studies, Administration, Management, Customs Administration, Supply Chain Management, Accountancy, Logistics, or a related field.
- Minimum 5 years of relevant experience in shipping, logistics, freight forwarding, customs clearance, supply chain operations, or a related field is preferred.
- Good knowledge and practical understanding of Incoterms, customs procedures, shipping documentation, and international trade regulations.
- Experience in import and export operations is an advantage.
- Knowledge and experience using ERP systems, preferably SAP Business One (SAP B1).
- Proficiency in Microsoft Office applications, particularly Microsoft Excel.
- Advanced Excel skills, including VLOOKUP, LOOKUP, PivotTables, conditional functions, and other data analysis tools.
- Strong understanding of shipment tracking, freight coordination, customs clearance, and delivery processes.
- Ability to review shipping documents carefully and identify missing information or discrepancies.
- Good communication and coordination skills when dealing with customers, internal departments, freight forwarders, shipping agents, customs brokers, and other service providers.
- Strong organizational and time-management skills with the ability to monitor multiple shipments and deadlines.
- Strong attention to detail and accuracy in handling shipping records and documentation.
- Ability to proactively identify and escalate shipment delays, discrepancies, and operational concerns.
- Knowledge of Dangerous Goods Regulations (DGR) is an advantage but not required.
- Good understanding of confidentiality and proper handling of sensitive commercial and customer information.
- Reliable, responsible, organized, and capable of working effectively in a fast-paced logistics environment.
Responsibilities:
- Coordinate customer orders and promptly address concerns, inquiries, and requests related to shipments.
- Coordinate and facilitate the approval of applicable shipping terms, requirements, and documentation.
- Create, update, and maintain accurate shipment monitoring records to ensure proper processing and timely customs clearance.
- Monitor shipment progress, schedules, delivery timelines, and clearance status.
- Coordinate closely with the Operations Team to ensure smooth and efficient day-to-day logistics activities.
- Maintain effective communication and coordination with other departments to ensure the smooth flow of transactions and shipping information.
- Coordinate the timely delivery of shipments and provide regular updates regarding shipment status.
- Arrange and coordinate appropriate transportation methods based on shipment requirements.
- Ensure goods are properly processed, cleared, and delivered within required timelines.
- Liaise with freight forwarders, shipping agents, customs brokers, carriers, and other logistics service providers.
- Coordinate with external service providers to ensure the availability, completeness, and accuracy of shipping and customs clearance documents.
- Establish and maintain good working relationships with freight forwarders and shipping agents.
- Assist in resolving shipment delays, documentation discrepancies, customs concerns, and other operational issues.
- Ensure that shipping documents, customs records, shipment details, and related files are complete and accurate.
- Maintain organized and readily accessible physical and electronic shipping records.
- Verify shipment information against invoices, packing lists, transport documents, and other supporting records.
- Monitor shipment timelines and proactively identify delays, discrepancies, missing documents, or potential operational issues.
- Escalate shipment problems and significant delays to the Operations Manager or appropriate department for timely resolution.
- Ensure compliance with company policies, safety requirements, customs procedures, shipping regulations, and applicable legal requirements.
- Maintain confidentiality of sensitive customer, commercial, shipping, and company information.
- Use ERP and logistics systems to update shipment information, records, and transaction details.
- Prepare and maintain reports, shipment trackers, and other logistics-related documentation as required.
- Coordinate import and export shipments and assist in ensuring proper documentation and clearance procedures.
- Perform other logistics, shipping, documentation, and administrative duties as assigned by the Operations Manager.
