ADMINISTRATION MANAGER
Qualifications:
- Minimum of 5 years of relevant working experience in administration, office management, or a related field.
- Must be a Bachelor’s / College Degree holder in Human Resource Management or a similar field.
- Proven experience in supervising, managing, training, and supporting administrative staff.
- Strong staff management and leadership skills.
- Good oral and written communication skills.
- Strong organizational, coordination, and time-management abilities.
- Experience in office procurement, inventory management, and supplier coordination.
- Knowledge of office budgeting, expense monitoring, and cost-control practices.
- Ability to manage vendor relationships and negotiate contracts effectively.
- Strong knowledge of administrative policies, procedures, and office systems.
- Good problem-solving and decision-making skills.
- Detail-oriented, responsible, reliable, and capable of handling multiple administrative tasks.
- Able to work independently while coordinating effectively with management and other departments.
- Professional and effective in dealing with employees, suppliers, contractors, and business partners.
Responsibilities:
- Oversee the day-to-day administrative operations of the office.
- Manage office facilities, maintenance requirements, equipment, and general workplace services.
- Monitor inventory levels of office supplies and ensure adequate stocks are available.
- Coordinate the procurement of office equipment, supplies, furniture, and other administrative requirements.
- Supervise, train, guide, and support administration staff in their daily duties.
- Assign administrative tasks and monitor staff performance and productivity.
- Establish and maintain efficient administrative systems and workflows.
- Develop, review, update, and implement office policies and administrative procedures.
- Ensure administrative processes are followed consistently across the organization.
- Monitor office budgets and administrative expenses.
- Assist in preparing budget plans and controlling administrative costs.
- Manage relationships with suppliers, contractors, service providers, and other vendors.
- Negotiate contracts, service agreements, and purchasing arrangements to achieve cost-effective solutions.
- Review vendor performance, pricing, service quality, and contract compliance.
- Maintain accurate administrative records, contracts, purchase documents, and office-related reports.
- Coordinate office repairs, maintenance, utilities, security, and other facility requirements.
- Ensure office equipment and facilities are properly maintained and available for daily operations.
- Monitor compliance with company policies, workplace procedures, and applicable safety requirements.
- Coordinate with management and other departments regarding administrative needs and operational concerns.
- Identify opportunities to improve administrative efficiency, reduce costs, and strengthen office systems.
- Prepare administrative reports and provide management with updates on office operations and staff performance.
- Maintain confidentiality of company information, employee records, contracts, and administrative documents.
- Perform other administrative and management duties assigned by the company.
