Project Management Secretary/Coordinator
Qualifications:
- 2+ years of experience as a secretary or administrative assistant in a professional setting
- Excellent organizational and time management skills
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Attention to detail and ability to proofread documents
- Experience with project management software, such as Asana or Basecamp
- Experience with project scheduling and timeline management
- Experience with preparing and managing project budgets
- Familiarity with construction or engineering terminology
- Detail-oriented and organized
- Proactive and efficient
- Excellent communication and interpersonal skills
- Ability to work under pressure and meet deadlines
- Ability to manage multiple priorities and handle multiple tasks simultaneously
Responsibilities:
- Manage and maintain project documentation, including calendars, schedules, and meeting minutes
- Prepare and distribute project-related correspondence, including emails, reports, and presentations
- Schedule and coordinate project meetings, conference calls, and site visits
- Manage project files and records, ensuring they are organized and easily accessible
- Handle administrative tasks such as travel arrangements, expense reports, and procurement
- Serve as a liaison between project team members, clients, and stakeholders
