Qualifications:
- Previous experience in import and export operations is required.
- Knowledge of shipping documentation and customs procedures.
- Ability to coordinate effectively with suppliers, freight forwarders, shipping companies, customs brokers, and logistics partners.
- Proficient in Microsoft Office, particularly Word, Excel, and Outlook.
- Strong organizational and administrative skills.
- Good written and verbal communication skills.
- Detail-oriented with strong document-handling and record-keeping abilities.
- Ability to work under pressure and meet strict deadlines.
- Capable of handling multiple tasks and coordinating with different parties simultaneously.
- Must be reliable, organized, and able to work independently with minimal supervision.
Responsibilities:
- Coordinate day-to-day import and export administrative activities and shipment schedules.
- Prepare, organize, and maintain import and export documents, including invoices, packing lists, bills of lading, certificates of origin, and other shipping documents.
- Coordinate with suppliers, freight forwarders, shipping companies, customs brokers, and logistics partners regarding shipment requirements and schedules.
- Monitor the status of shipments and follow up on delays, documentation issues, customs clearance, and delivery arrangements.
- Assist in ensuring that import and export transactions comply with customs procedures, trade regulations, and company requirements.
- Verify shipping documents for completeness, accuracy, and consistency before submission or processing.
- Maintain accurate records of shipments, customs documents, purchase orders, delivery documents, and related correspondence.
- Communicate with internal departments regarding shipment schedules, delivery requirements, and documentation.
- Prepare reports, spreadsheets, correspondence, and other administrative documents related to import and export operations.
- Use Microsoft Office applications, particularly Word, Excel, and Outlook, for daily administrative and documentation tasks.
- Assist in resolving shipment discrepancies, documentation errors, and logistical concerns.
- Monitor deadlines and ensure that required documents and administrative tasks are completed on time.
- Perform other administrative and logistics-related duties as assigned by management.
