PARTS ORDERING SPECIALIST

Qualifications:

• Minimum of 2 years of relevant work experience in parts ordering, purchasing, procurement, inventory, or a similar position.
• Candidates must have a Vocational Diploma / Short Course Certificate in Mechanical Engineering or a similar field.
• Male applicants are preferred for this role.
• Knowledge of automotive, mechanical, or industrial parts is an advantage.
• Familiarity with part numbers, technical specifications, product identification, and supplier coordination.
• Ability to verify parts specifications, quantities, compatibility, and availability accurately.
• Good communication, organizational, coordination, and negotiation skills.
• Ability to communicate effectively with suppliers and internal departments.
• Strong attention to detail when processing orders and checking parts information.
• Good follow-up and time-management skills to monitor pending orders and delivery schedules.
• Ability to maintain accurate purchasing, inventory, and supplier records.
• Reliable, organized, responsible, and able to work effectively as part of a team.

Responsibilities:

• Receive, review, and process orders for automotive, mechanical, industrial, and other required parts.
• Verify part numbers, specifications, quantities, and compatibility before placing orders.
• Coordinate with suppliers and vendors regarding product availability, pricing, lead times, and delivery schedules.
• Monitor pending orders and follow up with suppliers to ensure timely delivery.
• Prepare and maintain accurate purchase orders, order records, supplier information, and related documentation.
• Check incoming parts against purchase orders, specifications, quantities, and delivery documents.
• Coordinate with warehouse and inventory personnel regarding received, pending, and back-ordered parts.
• Monitor stock levels and assist in identifying parts that need to be replenished.
• Communicate with suppliers regarding incorrect, damaged, incomplete, or delayed deliveries and arrange appropriate resolutions.
• Compare supplier quotations, prices, availability, and delivery terms when required.
• Maintain organized records of supplier quotations, orders, invoices, deliveries, and related purchasing documents.
• Coordinate with internal departments to confirm parts requirements and delivery priorities.
• Assist in identifying alternative or equivalent parts when the requested item is unavailable, subject to technical approval.
• Ensure that ordered parts meet required specifications and quality standards.
• Follow up on urgent and priority orders to minimize delays in maintenance, repair, and operational activities.
• Maintain good working relationships with suppliers, vendors, warehouse personnel, mechanics, technicians, and other departments.
• Support purchasing and procurement activities as assigned by supervisors or management.
• Follow company procurement procedures, workplace policies, and applicable safety and quality requirements.
