EXECUTIVE SECRETARY

Qualifications:

  • Minimum of 5 years work experience
  • Full spoken and written English is essential. Arabic is an added advantage.
  • Must be prepared to work flexible hours
  • Computer literate with impeccable attention to details and time management skills are key requirements.

Responsibilities:

  • Operate office equipment and manage office space.
  • Handling of technical and non-technical correspondence.
  • Replying all the e-mails with and without supervision.
  • Preparing bids, tenders, Invoices and purchase orders.
  • Preparation and implementation of day to day activities
  • Maintaining customers and suppliers database
  • Coordination among Technical, Sales and Administration departments.
  • Dispatch and receipt of all official documentation
  • Prepare and manage correspondence, reports and documents.
  • Handle incoming mail, fax and other material
  • Set up and maintain filing systems.
  • Communicate verbally and in writing to answer inquiries and provide information.
  • Assists in administrative tasks handed by direct superior
  • Managing diaries and travel schedules, composing emails and confidential correspondence
  • Maintain schedules and calendars. Arrange and confirm appointments
  • Capacity to work under pressure can do other duties assigned by superior
